ASPIRE Program: Information for FHLR

Throughout the first weeks we have a phased ramp-up period. This controlled approach ensures all system functionalities operate correctly as we gradually resume procurement activities.

Procurement-related activities include:

• Issuing purchase orders or change orders

• EDI/cXML invoice submission note

• Supplier information changes, such as bank details or address changes

• Supplier payments

Purchase order migration

With the transition to a new SAP system, we have migrated all open purchase orders, resulting in new purchase order numbers. For integrated (B2B) suppliers with one or more migrated purchase orders, our EMEA Supplier Enablement Team will provide you with an Excel file of the new PO numbers. Please ensure that PO numbers for migrated Purchase Orders are updated in your system before submitting invoices. Additionally, please use these new PO numbers for delivery documentation.

Update Ship To Codes

Integrated suppliers should have updated FHLR ‘Ship To Codes’ in their ERP system to ensure a smooth transition and timely delivery of pending shipments. If the updates have not been made, purchase order transmission and invoice submission will fail. If you have already made these updates there is no additional action required. If you have questions regarding changes to the ‘Ship To Codes’ please contact the EMEA Supplier Enablement Team at emea.supplier_enablement@roche.com.

Procurement-related activities include:

• Issuing purchase orders to suppliers

• Supplier information changes, such as bank details or address changes

• Supplier payments

• Supplier portal transactions, such as creation of advanced shipping notices, goods receipts, purchase order acknowledgements, and invoice submission

Purchase Order migration

With the transition to a new SAP system, we have migrated all open purchase orders, resulting in new purchase order numbers.

GEP NEXXE Portal & GEP SMART Portal: The corresponding old PO will be closed in GEP. The old PO number can be found in the 'Legacy PO Number' of the new PO for reference, and both the old and new PO numbers will also be displayed in the Order Name field. The new PO will be automatically confirmed and accepted in GEP - no separate notification will be issued. The old PO numbers will be searchable in GEP via the search bar.

Please note old POs cannot be invoiced; you need to submit your invoice against the new migrated PO.

Purchase Order migration

With the transition to a new SAP system, we have migrated all open purchase orders, resulting in new purchase order numbers.

• Direct suppliers: For suppliers with one or more migrated purchase orders, you will receive an Excel file of the new PO numbers and any PO line number changes. This means you can update your systems and use the new order number for deliveries and invoicing.

• Indirect suppliers: For suppliers with one or more migrated purchase orders, you will not receive information about new PO numbers. You can continue to invoice FHLR against the existing PO number.
